Create

Note: If you are creating a user for whom you will need to provide the site link and their username and password, note that the SDX system does not generate this information. review note: Don't fully understand what this means - may need more info? Where might the information be generated? How will they know if that part is set up/in place?
To create a new user:
  1. Click the Create link from the Support/Users section of the navigation menu. A list of currently configured groups is displayed.
    Note: You may need to expand group containers to view subgroups. Select the corresponding letter for the group to which this user is being created and click + to expand the list and view subgroups.
  2. Click the link for the group to which you wish to assign the new user. The User Set-up and Maintenance - Create User screen is displayed.
  3. Enter the user's information and click Save.
    Note: The minimum required fields are:
    • First Name
    • Last Name
    • Email Address

    The newly created user will need to register the account by signing into SDX with the temporary password.

    The following table describes the features of the Create User screen.
    Feature Description
    Profile Tab
    Group Displays the full name of the group to which the user being added is a member. The full name of a group includes all parent group names, separated by a “/” character. This entry is displayed for information purposes—it is not possible to move a user between groups when the user is created. However, a user may be moved to another group by using the Change Group menu option or by using Find to locate the user and changing the group within the user profile.
    Registration Date Displays the date on which the user was added to the system. This entry is displayed for information purposes only and appears blank until the user has been created. Information displays when an existing user is located with the Find User function.
    Status This entry allows the user's status to be changed. Available states are Unlocked and Locked. (review note: any circumstance in which a user would be set to Locked when created?)
    • Unlocked—this is the default state of the user. A user with this status is able to login to the SDX system.
    • Locked—when in this state, the user is unable to login to the SDX system. A user in this state will be able to continue receiving secure packages. Users may become “locked” when an Administrator manually changes their status via this drop-down list box or when a user has exceeded the maximum number of failed login attempts for their group.
    Email Address Enter the email address for the user being created. For an existing user, this field displays the e-mail address of the user currently being edited.
    Note: If the user is being edited, this entry is read only and shown for information purposes only—there is no way to change a user's e-mail address within the Administration site. Users can change their e-mail address themselves as discussed in the SDX Users Guide.
    Notify Selecting this check box configures the user to receive any notifications that apply to the customer setup. Notifications could include package submitted, package opened, reminders, etc. If this option is left clear, the user will not receive any SDX generated email notifications. We suggest that individual users should have the Notify checkbox checked. Generic or bulk send/receive user accounts (such as paperout@wolterskluwer.com) should leave this field clear as the volume of notifications will slow the system and clutter the user's inbox.
    Name This entry shows the full name of the user currently being created or edited. The user's name may be changed by altering the contents of this field.
    Contact Tel Number Allows you to provide a contact telephone number for the user.
    Employer Name Allows you to indicate the employer of the user.
    Email Alias(es) These entries show the currently defined e-mail aliases for the user being edited or created. A maximum of five e-mail aliases may be defined. Any secure package sent to an e-mail alias is mapped to the user's primary e-mail address. (review note: This may benefit from further explanation - how can a secure package get sent to an email alias? …can the same email alias exist on more than one user account? e.g. a couple may have their own email address but also have a shared email account, and this is added as an alias to both of their accounts.)
    Allow Message Forwarding If this box is checked, the user currently being created or edited will be allowed to forward messages that they have received. The system default is that Users are not allowed to forward messages. (review note: Is there an example of when this might be useful, and also when it might be undesirable, to help with deciding whether to check this or not?)
    Note: Users are allowed to forward messages that they have created, and thus a Forward message icon will appear in their Sent folder toolbar regardless of the setting of this entry.
    Is Approver of Invited Users Checking this box identifies this user as the approver for self-registered users. Only one user can be designated as the self-registration user approver for each user container. (review note: Note also that if this box is checked, an additional button is shown to "List Users Approver For" - some further explanation of this would be useful.
    Self Registration User Placement Group This is the subgroup in which approved self-registered users will be placed. To set this group, click Change and locate the Group Container. Click the + button to expand the User Container (s). Select the User Container in which to place the self-registered users. Click Reset to Group Default to revert the self-registered user back to the default user group.

    review note: May need a little more explanation… if I'm creating a user right now, and assigning them to a Group at that point, why do I need to specify a second group for self-registration? It might be helpful to include a reminder of where the default user group for self-registered users is set up e.g. a link to that section of the Guide

    Status URL Password

    The status feature allows a real-time status message to be pushed to a website through the use of the Status URL. These may include a status of viewed, received, signed, consented, paper completed. (review note: An example of why this is useful and when it might be used would be really helpful.)

    The Status URL Username is the username for the specified URL. The status push will use this to connect to and update the status of the SDX package(s) on the customer's server.

    The Status URL Password is the password for the specified URL. The status push will use this passsword to connect to and update the status of the SDXpackage (s) on the customer's server.

    Status Push Include Meta Data Check this box to include metadata with the Status information sent to the user. If this box is clear, only Tracking ID, Status, and PushEvent will be sent. So if the customer requires the loan number or other data, all of the metadata must be pushed.
    Never Lock Account Check this box to ensure that this user account cannot be locked.

    Name Displays the full name of the user currently being edited or created. This entry is shown for information purposes only.
    Email Address Displays the email address of the user currently being edited or created. This entry is shown for information purposes only.
    Password Hint Displays the password hint that will be e-mailed to the user in the event that they forget their password. The user's password hint may be changed by editing the contents of this field. Note that this field is not available when creating a user; it is available only when editing an existing user.
    New Password Allows you to change the user's password—the minimum password length is six (6) characters. If this entry is left blank, the user's password will be left unchanged. If this entry is filled in, it must match the value of the Verify Password entry—if this is not the case, an error message will be displayed. Text typed into this entry will not be echoed to the screen, but will be replaced with “*” characters or similar.
    Note:
    • For security reasons, the user's password is never accessible via the User Set-up and Maintenance page, even in encrypted form. This means that the user's settings must be saved as soon as the new password is entered. If an attempt is made to move to a different tab without saving the password, a warning message is displayed informing the you that you are about to lose this change. However, if you choose another menu item, no warning message is displayed and the changes to the password will be lost.
    • If the user's password is changed via this tab, the user will be required to create a new password at their next login.
    Verify Password If the user's password is to be changed, this entry must match the value of the New Password entry. If this is not the case, an error message will be displayed.
    Require Password Reset Selecting this check box will require the user to create a new password at their next login. Note that this field is not available when creating a user; it is available only when editing an existing user.
