Performing a Mailing Search

The MAILING SEARCH option allows users to search for mailings using the following search criteria:

Perform the following:

  1. Select an Account from the corresponding dropdown.
  2. Click the Submit Start Date and Submit End Date fields to display an interactive calendar. Select the month and day or click the "<" or ">" arrows to navigate to the desired month.
  3. Enter a Control Number. An exact match is not required; users can enter partial search terms.
  4. Enter a Case Number. An exact match is not required; users can enter partial search terms.
  5. Enter a Loan Number. An exact match is not required; users can enter partial search terms..
  6. Enter a Recipient's Last Name. An exact match is not required; users can enter partial search terms.
  7. Enter a Transaction ID. An exact match is not required; users can enter partial search terms.
  8. Enter a USPS Tracking Number. An exact match is not required; users can enter partial search terms.
  9. Select one of the following from the Package Status dropdown:
    • Any: displays any statuses below.
    • Created: informs users when a letter has been created within Fulfillment Manager.
    • Delivered: informs users when a letter has been delivered.
    • Delivery Attempt Made: informs users that a delivery attempt has been made for the letter.
    • Error: displays any errors that have occurred.
    • Green Card Released
    • Mailed: this status informs users when a letter is mailed; this information is typically used for auditing and state registration processes
    • Printed: this status informs users when a letter has printed.
    • Printing: this status informs users when a letter is currently printing.
    • Processing: this status informs users that a letter is currently being procesed.
    • Ready for Printing: this status informs users when a letter is ready for printing.
    • Return Receipt: this status informs users when a certified mail return receipt was received.
      Note: The date/timestamp will appear in Fulfillment Manager and the resulting CSV file when a return receipt was requested and has been received and scanned at Wolters Kluwer Financial Services.
    • State Registered: this status displays the date when a loan was registered with the state for default processing for those states when a state registration has occurred.
    • Undelivered: this status informs the user that the maxiumum number of delivery attempts has been achieved; after attempting to deliver the letter three times, the letter is considered undeliverable.
      Note: This status is used for Certified Mail letters only. The date/timestamp will appear in the Mailing Detail screen and the resulting CSV file.
    • USPS Status: displays the USPS status and one of the following items in the Description column:
      • Delivery Attempt Made
      • Delivered
      • Return Receipt
