Maintain

To edit group settings on the Group Set-up and Maintenance screen, perform the following:

  1. Click the Maintain link from the Groups section of the navigation menu. A list of currently configured groups is displayed.
    Note: You may need to expand group containers to view subgroups.
  2. Click on the link for the group you wish to edit. The Group Set-up and Maintenance screen is displayed for the selected group.
    This page contains all available options for group maintenance. Refer to the table following this procedure for a description of each feature.
  3. Modify the desired options and click the Save button.
    The following table describes each feature of the Group Set-up and Maintenance screen.
    Feature Description
    Save Saves any changes you have made to the options on this page.If you leave this page without saving, your changes will not be retained.
    Disable Select this check box to disable the selected group. Clearing the check box re-enables the group. If this group is disabled, no new users can be added. Also, existing users in this group will be unable to access the application.
    Group Name The name of the group may be changed by altering the contents of this field. Need more information: Are there any consequences of changing the Group Name? e.g Is it likely to be referenced in user documentation? Do any other functions depend on or refer to it? Will anyone other than the Admin notice it has changed? Is there anyone who can't change this field? Is there any time when it can't be changed? Is there a limit to the number of chars that can be entered here? Even if not, is there any advantage to keeping it a particular length?
    Description The description of the group may be changed by altering the contents of this field. Need more information: any consequences of changing, who can/cannot change it etc. Is there a limit to the number of chars that can be entered here? Even if not, is there any advantage to keeping it a particular length?
    Log In Attempts
    The value in this field is the maximum number of failed login attempts that Users in this group are allowed before their User ID is locked out of the system. If this value is set to zero, then there is no limit on the number of failed login attempts.
    Note: The failed login attempts must be consecutive in order for the User to be locked out—a successful login will clear the user's failed attempt count.

    Change Password After The value of this field is the maximum number of days that a User can leave their password unchanged. Once this figure is exceeded, the User will be forced to change their password at their next login.

    Verify: What happens if this is left as zero? How does this work with Password Never Expires setting?

    Password Never Expires If this box is checked, then there is no limit to the number of days that a User can leave their password unchanged. Checking this box resets the Change Password After field to zero and disables it. Clearing this box enables the Change Password After field, but does not reinstate any earlier value.

    Verify: So is it safe to assume/state that if this box is unchecked and Change Password After is left as zero, this is the same as checking this box e.g. the password will never expire?

    Enable Automatic Password Reminder This option allows a password reminder to be sent to the user after the pre-determined number of failed login attempts. This value is set in the box after Remind After.

    Verify: what happens if thos box is checked but value is set to zero.

    Package Options
    Restrict Message Size to Selecting this box enables the input field to its right and allows you to define the maximum secure package size, in Megabytes, which may be created by Users in this group. The size of a message is determined from the body size plus the size of all attachments. Clearing this check box disables and resets the field contents to zero.
    Note: A value of zero indicates an unlimited package size, even if the box is checked.
    Restrict Attachment Extension Selecting this box enables the input field to its right and allows prohibited attachment extensions to be defined for the group. Multiple prohibited extensions must be separated by the comma “,” character. Clearing this box empties the field contents and disables it.
    Note:
    • If the field is left empty, then no attachment extensions will be prohibited, even if the box is checked.
    • Prohibited extensions are detected at package creation time. If a package has been sent containing an attachment with an extension that is prohibited at a later date, the package and its attachments will not be affected.
    Group User Options

    These check boxes relate to functions on the WebUI User Sites. Removing the check from a box removes the corresponding item from the User Site menu. Items that are commonly removed for recipient groups are Change Settings and View Reports.

    Enable Sending Packages Allows the user to send packages.
    View Sent Packages Allows the user to view any packages sent
    Archive Items Allows the user to view the Archive Tab within the Web portal, and to view any packages that may have moved there due to the archiving period set up for the Web portal.
    Delete Items Allows the user to view the Delete Tab within the Web portal, and to view any packages that may have been deleted per archive period.
    Change Settings Allows the user to modify items within the User Settings page.
    Change Profile Allows the user to change the user's own profile information on the My Profile page. Disabling this setting will prevent users from changing their own password.
    View Reports Allows the user to run and view reports accessible through the Reports page.
    Email Options
    Enable Auto Purge Selecting this box causes all packages to be automatically purged to zero size once they are valid for purging. The database record remains on the system for reporting and auditing purposes, but the actual package content is removed. The default setting is ON.
    Send notifications as HTML This option should always be checked: notifications should be sent in HTML format. If a recipient’s email does not support HTML, a text version of the notification will be sent automatically.

    Enables the HTML notifications for this group. This means that all notifications sent to Users of this group when, for example, they have a new secure e-mail, will be sent as HTML e-mail messages and therefore may be branded.

    Note: SDX does not validate the notification contents to ensure that it contains well formed HTML. Therefore, Administrators should review this content to verify the HTML.
    Return receipt when message is viewed This option should always be checked: notifications are for everyone in the group. There are cases when the view notification would be turned off for accounts used by multiple users that will have a huge volume of sent packages. When disabling view notifications, turn off the notification for an individual account, not for an entire group.

    Causes a confirmation email to be sent to the user that a package they previously sent has been viewed by the recipient.

    Password cannot be changed

    This option prevents user accounts in this group from changing their password.

    Send notification on password change This option sends the user a password change notification, even if the user changed the password themselves. This option usually remains unchecked since the appropriate email notifications are automatically sent when a password is changed by an Administrator or by the ‘forgot password’ function.
    Send password in separate email Depending on the customer’s requirements, this option may be enabled. Checking this box enables sending two separate emails to unregistered package recipients; one with the URL and username and a second email with the temporary password.
    For Setting up Staff Groups Only: Do not change the default information for these options in the Recipient Group.
    Self Registration User Placement Group If the customer is implementing the self-registration method of registering new users, this is the group in which new users will be created. To set up this group, click the ‘Change’ button and browse through the groups to locate the customer’s recipient group. Streamline implementations will not implement this registration method.
    Create Unregistered Recipients and Put Unregistered Recipients In group If the customer requests the auto-create (on the fly) method of user registration, check the Create Unregistered Recipients checkbox and configure the group so unregistered recipients are created. As with the self registration placement group, click Change and browse to locate the customer’s recipient group.
    Unregistered Recipients Login Password This is the default password if Use random password is not set in the Configure Skin settings.
    Last Changed Displays the date on which the group settings were last modified.
    Changed By Displays the email address of the user that last modified the group settings.
    Last Changed Description Displays a generated description of the last change.
