PubAssist Features in Detail
Profile Management
PubAssist profiles allow you to save and reuse publications by configuring the following profile details:
- Profile name - Allows you to easily identify your publication within the Profiles list. This is typically the name of the document you're publishing.
- Source - This is the location of the files being published. This is also the output location to which that Oxygen XML editor transforms the files for the document.
- Server - The location (folder) on the server to which the profile will publish
- Project - (Optional) The location of the XML project file that contains the document. This is a courtesy setting that allows other users to locate your project.
- Ditamap - (Optional) The location of the ditamap file for the document. This is a courtesy setting that allows other users to identify the specific ditamap for the document.
To manage your profiles:
- Select the Profile Tools button from the Profiles toolbar
- Select the "Add Profile" button to create a new profile.
- Select the "Duplicate Profile" or "Delete Profile: buttons to duplicate or delete the selected profile, respectively
- Double-click a profile, or select a profile and select Profile Details from the Tools menu buttons to display the profile details
- Click "Create Profile" or "Save Changes" to save your profile settings.
Tip: You can export and import profiles to share them with colleagues or transfer them between systems.
Importing Profiles
The Import Profiles feature in PubAssist allows you to quickly bring in one or more publication profiles that were previously exported or shared by colleagues. This is useful for onboarding new team members, migrating to a new system, or sharing best practices across teams.

- Bulk Import: Import multiple profiles at once from a single file.
- Supported Formats: Accepts JSON or XML files exported from PubAssist or compatible tools.
- Conflict Resolution: Detects duplicate profile names and allows you to overwrite, skip, or rename imported profiles.
- Validation: Automatically checks imported profiles for required fields and valid settings before adding them.
- Preview: Review the list of profiles and their details before confirming the import.
- Selective Import: Choose which profiles to import from the file if you don't want to import all of them.
- Audit Trail: Imported profiles are logged for traceability and troubleshooting.
How to Import Profiles
- Open PubAssist and go to the Profiles section.
- Click the Import Profiles button (found in the Profiles Tools menu).
- In the import dialog, click Choose File and select the exported profiles file (JSON or XML).
For users of previous versions of InfoDev Tools, this is typically located in:
C:\Users\user\OneDrive - Wolters Kluwer\Documents\InfoDev Tools\Profiles, or
C:\Users\user\OneDrive - Wolters Kluwer\Documents\InfoDev Tools\PubAssist FTP Profiles
- Review the list of profiles detected in the file. Use the checkboxes to select which profiles to import.
- If any conflicts are detected (e.g., duplicate names), choose whether to overwrite, skip, or rename the incoming profiles.
- Click Import to complete the process. A summary will be shown with the results of the import.
- The imported profiles will now appear in your Profiles list and are ready to use or edit.
Tip: Always review imported profiles for accuracy and completeness, especially if they were created in a different environment or by another user.
Publishing Process
The publishing process in PubAssist is designed to be clear and efficient, allowing you to publish documents to your chosen server with just a few steps. Below are the accurate steps and options for publishing a profile:
Steps to Publish a Profile
- Select a Profile: In the Profiles section, click to select the profile you want to publish. You can create a new profile or use an existing one.
- Add to Publishing Queue: Once the profile is selected, select the target server using the Add to Queue button in the Profiles toolbar or right-click the profile and select Add to Queue and then the target server. This adds the profile to the publishing queue. You can add multiple profiles for batch publishing.
- Access the Publishing Queue: Click the View Queue button to open the publishing queue window.
- Review and Execute the Queue:
- Review the list of profiles in the queue, including their target servers and status.
- Remove or reorder items in the queue as needed.
- Click Start Publishing to begin the publishing process for all queued profiles.
- Monitor Progress: The status panel will display real-time progress, including current stage, percentage complete, estimated time remaining, and any errors or warnings.
- Completion and Results: When publishing is complete, you will see a summary of results. You can view logs, download output files, or address any issues reported.
Tip: You can pause, resume, or cancel publishing jobs from the queue window. For large or complex jobs, monitor the status panel for detailed feedback and troubleshooting.
